Do I need travel insurance?

UK Tours
We recommend that all passengers have sufficient travel insurance to cover cancellation in case of illness etc.

Overseas Tours
It is mandatory that all travellers have sufficient travel insurance. We act as an Authorised Representative of Holiday Extras Travel Insurance who are authorised and regulated by the Financial Services Authority. We are pleased to offer a policy arranged by Holiday Extras (in cooperation with EuropAssistance). Please telephone our Reservations Department on 01473 660800 where we will be pleased to arrange cover for you. Cover is not effective until the premium has been paid. If you are relying on travel insurance provided by your bank or credit card provider as part of their service, please check that the cover is at least equal to that provided by Holiday Extras, in particular with regard to cancellations charges.

How many people will there be in the group?
To ensure that each person gets the most from their holiday, we try to limit the group size to a maximum of 35 people.

What if I am travelling alone?
Don’t worry. Many of our guests are single travellers too and we find that the group as a whole, who all share a common interest, is very welcoming to everyone. Also our tour manager is on hand to help should you need it.

What if I have special needs or require additional help?
Arena Travel welcomes passengers with special needs wherever the appropriate arrangements can be made. We therefore ask that anyone suffering from a medical condition or disability, or simply needing a little extra help during their holiday, provides full details of their special requirements. Passengers with a disability must be accompanied by an able-bodied person who is willing, and able, to assist them where necessary. Should you have any concerns regarding the suitability of a holiday prior to making your booking, please contact our Reservations Team on 01473 660800 where a member of staff will be able to help you.

Do I need a passport or a visa?
For overseas holidays a full passport issued by a member state of the European Union and valid for at least six months after the date of return to the UK is required. Details of visa requirements are detailed in the brochures.

Are there any special health requirements?
Details for each tour are in the relevant brochures. The Department of Health produces the Health Advice for Travellers booklet (T6) which is available from your local Post Office or by telephoning 0800 555 777 free of charge. Passengers travelling within Europe are recommended to carry an EHIC (European Health Insurance card). If you need to call out a doctor in an emergency, make it clear you have an EHIC and that you want to be treated under the EC arrangements. However, the cost of any specialist medical treatment can be high and passengers must ensure that they carry sufficient travel insurance to cover any unexpected medical bills.

When do I get my travel documents?
Upon receipt of your payment (and subject to places being available), you will be sent a Confirmation Invoice. Approximately 10 days before departure, you will be sent your travel wallet containing tickets, baggage tags and final detailed itinerary.

What deposit do I have to pay?
That depends upon the holiday you are taking.
The non-refundable deposits are:

All other tours: £175 per person

Quilting:
Calgary, Northern Lights: £400 per person
Alsace, Venuice & Padua: £150 per person
Bath, Durham: £75 per person.

Elvis
Twixmas: £40 per person
Memorial Tour 2010: £225 per person
Germany: £100 per person

Mablethorpe: £50 per person

Elvis Aug. 2011: £200 per person

Queen
Twixmas: £40 per person

What currency exchange rates do you use?

£1 = US$1.55 US dollars
£1 = CN$1.54 Canadian dollars
£1 = €1.10 Euros
£1 = NK 9.35 Norwegian krone
£1 – SFR1.76 Swiss francs

Surcharges
Prices and flight supplements for these holidays are based on anticipated airfares for the flights and airlines featured. If a higher airfare applies at the time of booking we may need to increase the price of your holiday and we will advise you of this before your booking is confirmed. Tour prices are based on flights from the airport specified. Flights from alternative airports will incur a further charge. Flight supplements are payable at the time of booking and are non-refundable.

When do I have to pay?
The non-refundable deposit specified is payable upon booking. The balance is due not less than 80 days prior to departure.

Can I pay by credit or debit card?
Yes you can. We are pleased to accept payment by MASTERCARD, VISA or AMEX for all, or part of your holiday cost. Please complete the appropriate box on the Reservation Form if you wish to pay by credit card.
Please note: a 2% surcharge (3% for AMEX) will be applied to all payments by credit card and Debit MasterCard. We are also pleased to accept payment by VISA, MAESTRO and DELTA debit cards – no surcharges apply to these payments.

Can I book by telephone?
Yes. Telephone bookings can be made by calling our Reservations Team on 01473 660800 (Monday to Friday 0900 to 1730). Please have your credit/debit card details to hand.

Can I book online?

Can I book by post?

Is Arena Travel fully bonded?
Yes. Your payments are fully protected.

Tours with flights:
The air holiday packages on this webwebsite are ATOL protected by the Civil Aviation Authority. Our ATOL number is ATOL 10117 (Arena Tours Limited). Please see our Reservation Conditions for more information.

Tours without flights:
Arena Tours Ltd has effected a policy with IGI Insurance Company Ltd, arranged by Milsom Howard Ltd, to ensure that all passengers booking with Arena Tours Ltd are fully protected for the initial deposit and subsequently the balance of all monies paid to Arena Tours Ltd, arising from cancellation or curtailment of your travel arrangements due to the insolvency of Arena Tours Ltd. This Insurance has been arranged under the Failsafe Package Travel Regulations Scheme which is underwritten by IGI Insurance Company Ltd, a member of the Association of British Insurers. IGI Insurance Ltd and Milsom Howard Ltd are authorised and regulated by the Financial Services Authority.
