Operations Executive - Bridge

The Arena Travel Group has been providing high-quality special-interest tours and holidays for more than 40 years. Still proudly independently owned to this day, the Group has developed its reputation for delivering a wide range of escorted quality holidays and river cruises including tours in the special interest hobby areas.

We are currently recruiting for an Operations Executive to assist with the preparation of our Bridge holidays as part of our Specialist Brand division. In summary, the role will involve working alongside our Bridge Product Manager and our Operations Manager to ensure the tours are well prepared resulting in the successful operation of the holidays.

Our Bridge holidays combine a varied programme of seminars and bridge sessions with good quality hotels and fascinating destinations. We’re proud to have been organising bridge holidays and cruises for over 20 years across the UK and abroad.
With the travel industry expected to get back into full swing in the coming months, this is an exciting time to join our growing team.

Key duties & responsibilities

  • Accurately loading new tours from Product Releases and reloading rescheduled tours onto the internal reservations system
  • Manage group flights; checking invoices and arrange payments, ticketing and seat allocation
  • Manage accommodation bookings; checking invoices and arranging payments, ensuring that release dates are diarised and adhered to and that correct ratio of free rooms are granted.
  • Ensure correct Health & Safety documentation is in place prior to each tour
  • Organise excursions as required
  • Liaise with Bridge Hosts and Directors to ensure efficient preparation of the tour
  • Organise the Bridge programme
  • Liaise with the hotel regarding meal arrangements, welcome drinks, table requirements, tea/coffee etc.
  • Process supplier invoices and liaise with the Finance department to ensure payments are made on time and that P&L are posted correctly
  • Continuously liaise with Reservations and Marketing teams; advising when tour is full, on stop sale or on request
  • Produce final customer documentation
  • Liaise with bridge staff to ensure that bridge equipment is packed and ready for freighting in good time
  • Work closely with the Reservations team, ensuring that requests outside of the standard package are processed speedily.
  • Ensure that special requests made by customers (airport assistance, specific room or dietary requirements etc.) are communicated to our suppliers

Key relationships

  • Will report into the Operations Manager
  • Will work in accordance with requirements of the Bridge Product Manager
  • Will work closely with the reservations team ensuring they are prepared and well informed for handling customer enquiries when booking clients onto our Bridge holidays

Location: Ipswich - Suffolk
Hours: Full Time, 37.5 hours per week - Monday – Friday 9:00 – 17:30 (1-hour unpaid lunch)
